  1. Overview

VenturEd Solutions (“VenturEd,” “we,” “us,” or “our”) provides a secure application and financialaid processing platform for educational institutions (“Schools”). 

This Privacy Policy explains how we collect, use, disclose, and protect personal information when individuals use the Family Portal or other services hosted by VenturEd on behalf of Schools (“Services”). 

In most situations, VenturEd acts solely as a service provider / processor and processes personal information only under the written instructions of Schools. 

  1. Our Role (Service Provider / Processor)

VenturEd processes personal information exclusively on behalf of Schools. 

We do NOT: 

  • Sell personal information 
  • Use personal information for advertising or marketing 
  • Profile users 
  • Combine data across different Schools 
  • Use data for product analytics or product improvement 

Privacy requests regarding application data should be directed to the School first. VenturEd assists Schools in fulfilling those requests. Where a written agreement between VenturEd and a School conflicts with this Privacy Policy, the written agreement controls. 

  1. FERPA School Official Status

For educational institution customers, VenturEd acts as a School Official with Legitimate Educational Interest under the Family Educational Rights and Privacy Act (FERPA) and processes student and family information solely to provide contracted educational services.

A. Information Provided by Families (Mandatory for Service Use)

  • Full name 
  • Email address 
  • Phone number 
  • Mailing and residential address 
  • Financial aid application information 
  • Wage and income information 
  • Business ownership and financial data 
  • Investment and contribution information related to child welfare 

This information is required to allow Schools to evaluate financial aid eligibility. 

B. Technical and Security Information

  • IP address 
  • Country location 
  • Browser type 
  • Device/platform information 
  • Login timestamps and access logs 

C. Tax Documentation (Optional Based on User Choice)

Depending on the submission method selected by the family: 

  • Manually uploaded tax documents (processed by Scalehub) 
  • IRS tax data retrieved via TaxStatus with user authorization 
  1. Sensitive Personal Information

We process sensitive personal information solely to provide services to Schools, including: 

  • Financial records 
  • Tax information 
  • Student application data 
  • Authentication credentials 

We do not use sensitive personal information for marketing, profiling, or advertising purposes. 

  1. How We Use Information

We use personal information only to: 

  • Facilitate school applications 
  • Enable financial aid evaluation by Schools 
  • Provide customer support 
  • Maintain system security and fraud prevention 
  • Comply with legal obligations 

VenturEd does not independently evaluate applicants or make admissions or financial aid decisions. VenturEd is not responsible for decisions made by Schools based on submitted information. VenturEd may use aggregated or de-identified information that cannot reasonably identify an individual to improve system reliability and security. 

  1. Automated Decision Making

VenturEd does not perform automated decisionmaking or profiling. All determinations are made by Schools. 

  1. Data Sharing

We share information only with: 

Schools (Primary Purpose) 

Application information is shared only with Schools selected by the parent/guardian. 

Service Providers (Only When Chosen by User) 

  • Tax Status® – authorized IRS data retrieval 
  • Salesforce® – hosting and secure infrastructure 

Legal Requirements 

We may disclose data when required by law, subpoena, court order, or to prevent fraud or security incidents. 

VenturEd does not sell or rent personal information. 

  1. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, including to satisfy applicable legal, regulatory, contractual, and operational record retention requirements.

  1. Cross-Border Data Transfers

VenturEd is headquartered in the United States, and personal data may be transferred to, stored, and processed in the United States and other countries where we operate, including India and the Philippines.

When personal data is transferred from the European Economic Area (“EEA”) or other jurisdictions that require safeguards for international data transfers, VenturEd ensures such transfers comply with applicable data protection laws.

To protect personal data transferred across borders, we implement appropriate legal, technical, and organizational safeguards designed to maintain the privacy, security, and integrity of the data.

VenturEd is committed to handling personal data responsibly and in accordance with applicable global privacy and data protection requirements.

  1. Security

We implement industry-standard administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, encryption at rest, access controls, monitoring, and periodic security assessments. 

However, no method of transmission over the Internet and no electronic storage system can be guaranteed to be completely secure. While we work to protect personal information, VenturEd cannot and does not guarantee absolute security and is not responsible for unauthorized access, hacking, data loss, or other breaches that occur despite reasonable safeguards. 

  1. Cookies and Tracking

We use only essential cookies provided by the Salesforce platform for authentication and session management. The Services do not use advertising or analytics cookies. 

Users may manage cookies through browser settings; however, disabling essential cookies will prevent login functionality. 

  1. Privacy Rights

Depending on jurisdiction, individuals may have rights to access, correct, delete, or restrict personal information. Because VenturEd acts as a processor, requests should first be submitted to the School. We assist Schools in responding to requests.  

Residents of certain U.S. states may have rights under applicable privacy laws, including the right to: 

  • Access personal information we process 
  • Correct inaccurate information 
  • Request deletion of personal information 
  • Obtain a copy of personal information in a portable format 
  • Restrict or object to certain processing 
  • Appeal a denied request 

Because VenturEd acts as a service provider/processor to Schools, we generally require individuals to submit requests directly to the School that controls the data. We assist Schools in fulfilling such requests. 

Sensitive Data 

We process sensitive personal information only as necessary to provide Services and do not use such data for advertising or profiling. 

Sale or Targeted Advertising 

VenturEd does not sell personal information and does not use personal information for targeted advertising or cross-context behavioral advertising. 

Automated Decision-Making 

VenturEd does not make automated decisions that produce legal or similarly significant effects. 

Authorized Agents 

Authorized agents may submit requests where permitted by law and with appropriate verification. 

  1. Children’s Privacy

The Services are intended for use by parents/guardians submitting applications on behalf of students. Student data is processed only under the direction of Schools in accordance with applicable student privacy laws. 

  1. Changes to This Policy

We may update this policy periodically. Material changes will be communicated to Schools before taking effect.

SMS/Text Messaging 

If you provide a mobile phone number and opt in to receive communications from VenturEd, you agree to receive service-related text messages regarding your application status, account activity, security alerts, or support communications. 

  • Message frequency varies based on account activity 
  • Message and data rates may apply 
  • Consent is not required as a condition of service unless necessary for authentication or account security 
  • Messages are sent on behalf of the School using VenturEd’s platform. 
  • You may opt out at any time by replying STOP
